Privacy Notice

HereNow Midlands, a service of OR Foundry LLC in South Carolina, provides agreed local presence and clear documentation of visible conditions. Questions about this notice may be sent to [email protected].

Current public-beta status

The public HereNow site is informational and does not itself collect a visit request. Its request page links to HereNow's maintained Jobber request form, where information entered is transmitted to Jobber for review. A submitted request is not a booking, confirmed visit, price, or availability promise.

Information associated with agreed services

When HereNow Midlands accepts an agreed service through its approved workflow, information may include customer and contact details, service location, agreed scope and timing, Jobber references, visit notes, service communications, and approved photographic documentation. We use this information to review a request, perform the agreed service, prepare the service record, manage revisions, and document delivery.

How information is shared

We do not sell personal information. We share information only as needed to provide the agreed service, including with authorized HereNow Midlands staff, the customer or authorized contact, and approved service providers used for scheduling, private AI-assisted transcription and drafting, or delivery. A final report is not made public and is not available through a public report link.

Photos and service records

Photographs and notes are limited to what was reasonably visible or communicated during the service window and agreed scope. Internal working notes and internal-only photographs are not included in customer previews or customer PDFs. Final customer reports and approved evidence are maintained as private records; corrections are handled through a linked revision or addendum rather than altering a finalized report.

Authorized voice recordings

During an agreed service, authorized staff may record a visit narration for private transcription and draft observations based on what was visible. Staff should use self-narration whenever possible and must not upload a conversation involving a client, worker, or bystander unless every recorded person has been informed and the recording is authorized. The original audio and transcript may be processed through OpenAI's API. API inputs and outputs are not used to train OpenAI models by default; provider abuse-monitoring or legal retention may still apply to the text-drafting request.

Original audio, raw transcripts, automated suggestions, provider responses, and internal review history remain private working material. They are not included in a customer preview or PDF by default. A HereNow staff member must review and deliberately approve final wording and supporting photos before either can enter the editable report workflow.

Optional AI-assisted scope drafting

Where enabled for authorized staff, HereNow may use OpenAI's API to prepare an editable suggested service scope from a linked Jobber request title, line-item details, job or selected-visit instructions, and the staff member's clarification. The assistant removes known personal contact and address details before sending the request. It does not send Jobber identifiers, customer names, contact fields, property data, notes, photographs, financial information, report observations, or prior report history.

The suggestion is private working material. It is not automatically saved, included in a customer preview or PDF, sent to Jobber, or used to contact anyone. An authorized staff member must review, edit as needed, explicitly apply it to an editable report draft, and separately save that draft.

Optional nearby reported weather

Where separately enabled and deliberately requested by authorized staff, HereNow may send the exact service location to the U.S. Census Bureau's geocoding service to resolve coordinates. The server may then use those coordinates and the staff-confirmed actual arrival time with NOAA and National Weather Service services to find a historical observation from a nearby reporting station. These provider requests are made server-side, not by the browser.

A provider result remains private working material until a staff member reviews the station, observation time, distance, time difference, and reported values and explicitly applies it. A customer report may include normalized condition, temperature, humidity, wind, visibility, and that provenance under the label "Nearby reported weather." It does not represent a measurement at the property, and HereNow does not infer missing values, substitute current conditions or forecasts, or include precipitation in this feature.

HereNow does not store raw geocoder or weather-provider responses or precise coordinates in the report record. Changing the service location or actual arrival makes an applied result stale, and staff must refresh or remove it before submission. Submission freezes only the explicitly applied normalized values in the private report snapshot; later preview, finalization, download, and delivery do not call either provider again.

Retention and security

HereNow Midlands uses access controls intended to limit staff reporting access to authorized personnel. Voice source records receive a 30-day retention deadline at ingest. An administrator may permanently delete the original audio sooner when processing is not active and no legal hold or dispute applies; source metadata, transcripts, and review history may remain for traceability until their applicable deadline. A legal hold, active dispute, safety need, or legal obligation may extend retention. Other service records follow their applicable operational record category.

You may contact us to ask about information associated with an agreed service, request a correction to contact details, or raise a privacy concern. Requests are evaluated in light of applicable law, the need to preserve finalized records, and any legal-hold or dispute obligation.

Updates

We may update this notice when our intake, scheduling, storage, provider, or service workflow changes. The effective date above identifies the current version.
